  1. Privacy Policy: Version 2.0 dated 12 November 2018
    1. The East Norfolk Operatic Society ("We / Us") is committed to protecting and respecting your privacy.
    2. This Privacy Policy relates to our use of any personal information we collect from you when you become a Member, Patron or Supporter of the Society. Members pay a membership fee, Patrons a contribution and Supporters are individuals who are involved in supporting the activities of the Society. This involvement includes (but is not limited to) scenery construction, costumes, properties, publicity, front of house arrangements, stage management, sound, lighting, direction, choreography, music and orchestra. Supporters also include lapsed members, as such members normally wish to remain in contact with the society and may wish to renew their membership at a future date.
    3. This policy (together with our terms of use and any other documents referred to on it) sets out the basis on which any personal data we collect from you, or that you provide to us, will be processed by us. Please read the following carefully to understand our views and practices regarding your personal data and how we will treat it.
    4. For the purpose of the General Data Protection Regulation (EU) 2016/679 and Data Protection Act 1998 (the Regulation and Act), the data controller is the current committee of the Society.

  2. Information we may collect from you
    1. We collect basic personal details such as your name, address, e-mail address, telephone number, subscriptions and dates paid, standing order details. For Members, we may also take your photograph and ask you for your biography.
    2. If you contact us, we may keep a record of that correspondence.

  3. IP addresses
    • We may collect information about your computer, including where available your IP address, operating system and browser type, for system administration. This is statistical data about our users' browsing actions and patterns, and does not identify any individual.

  4. Cookies
    • Our site does not use cookies other than for members' log ins which are stored only for that session.

  5. Where we store your personal data
    1. Any data stored is limited to that which you have freely given us, (name, address, email address) and is retained solely by us. No information is given to third parties without your specific permission.
    2. Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our site; any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access. No information is stored on the website other than that visible in the pages.

  6. Security
    • We put in place reasonable security measures to protect against any unauthorised access or damage to, or disclosure or loss of, your information.

  7. How we use information
    1. We will use your information to send you newsletters, letters or emails to give you details of General Meetings, Shows, Rehearsals, Production Meetings and similar events that are likely to be of interest to you. Your name, and possibly photograph and biography, may appear in our show Programmes and other media. Your information may also be shared with our committee members. This use is in our ‘Legitimate Interest’. You will be aware that our show programmes are public documents and that our newsletters are shared amongst our membership and with our supporters. We will not share your information with other third parties without your consent.
    2. To ensure that content from our site is presented in the most effective manner for you and for your computer.
    3. To provide you with information, products or services that you request from us or which we feel may interest you, where you have consented to be contacted for such purposes.
    4. To notify you about changes to our service.


  8. Your rights
    1. Please let us know if your information changes as it is important that the personal information we hold about you is accurate and up to date.
    2. We will keep your information indefinitely after you remain an active member or supporter of East Norfolk Operatic Society. We keep your information because you may resume your connection with East Norfolk Operatic Society and take part again in our activities. However, you can ask us to remove your personal information from our records at any time and we will do so and stop sending you any further newsletters.
    3. You have the right to request a copy of all the personal information we hold about you in a Subject Access Request. To do this, simply write to us at the address below. We will take all reasonable steps to confirm your identity before providing you with details of any personal information we may hold about you.
    4. Our site may, from time to time, contain links to and from the websites of other similar societies and organisations. If you follow a link to any of these websites, please note that these websites have their own privacy policies and that we do not accept any responsibility or liability for these policies. Please check these policies before you submit any personal data to these websites.

  9. Access to information
    • The Regulation and Act gives you the right to access information held about you. Your right of access can be exercised in accordance with the Regulation and Act. Any access request may be subject to a fee to meet our costs in providing you with details of the information we hold about you.

  10. Changes to our privacy policy
    1. We may amend this Privacy Policy from time to time; for example, to keep it up to date or to comply with legal requirements. If there will be any significant changes made to the use of your personal information in a manner different from that stated, we will seek your permission first.
    2. Any changes we may make to our privacy policy in the future will be posted on this page and, where appropriate, notified to you by e-mail.
